Who we are
Archetype Leadership & Teams Limited, trading as Archetype Leadership + Teams ("Archetype", "we"), is a New Zealand leadership and team development business. We run www.archetype.nz and the assessments at assess.archetype.nz.
This policy explains what personal information we collect, why, and what you can do about it. It follows the Privacy Act 2020.
Our privacy officer is Tony Gardner. For any privacy question or request, email tonygardner@archetype.nz or write to 2/26 William Fraser Crescent, St Heliers, Auckland 1071.
What we collect
We collect business contact details and what you tell us about your work with us. We do not ask for sensitive information such as health details.
Enquiry forms on archetype.nz: name, organisation, email, phone, how you heard about us, and your message.
Email, phone calls and meetings: name, organisation, role, contact details, and notes of what we discuss.
Insight newsletter sign-up: email address, and the date and wording of your consent.
Your employer, when it engages us: your name, work email, role and the programme you take part in.
Assessments at assess.archetype.nz: your answers and comments, and the report they produce. Free checks are anonymous unless you choose to give an email.
DISC and CliftonStrengths profiles: your report, from the supplier whose platform you use to complete the profile.
Our website: how visitors use the site, through cookies (see below).
If your employer gave us your details, we tell you so in our first email to you, with a link to this policy.
How we use it
We use your information to work with you and to keep in touch in a measured way. We do not sell it or rent it to anyone.
To answer your enquiry and arrange and deliver our services.
To run assessments, produce reports and share them as agreed with you and your organisation.
To keep a record of who we have worked with, on what, and in what role.
To send occasional emails relevant to the work you did with us, and the Insight newsletter.
To follow up after a programme, for example to ask how things are going or for feedback.
To understand which of our activities lead to enquiries, so we can improve them.
We keep contact light. Leaders and client contacts hear from us no more than monthly, and programme participants no more than quarterly.
Email and the Insight newsletter
We email you only with your consent, and you can stop at any time with one click. This follows the Unsolicited Electronic Messages Act 2007.
How we have consent. You signed up, or asked to hear from us, or we worked with you or your organisation and the email relates to that work.
What we record. How and when we obtained your email, so we can show consent if asked.
Unsubscribing. Every email has an unsubscribe link. We act on it within two working days and keep your address only to make sure we do not email you again.
Engagement. If you do not engage with our emails, we contact you less often, then stop.
Cookies, analytics and advertising
Our website uses cookies to work properly and to show us how visitors find and use it. We do not use them to identify you by name.
Squarespace, which hosts the website, sets cookies the site needs to function.
Google Analytics and Google Tag Manager tell us which pages are visited and where visitors come from.
Google Ads tells us when someone who clicked one of our ads goes on to send an enquiry.
You can block or delete cookies in your browser settings. Google's ad settings and its Analytics opt-out browser add-on let you limit Google's use of this data.
Who sees it and where it is stored
We share your information only with the people and services needed to do the work, and some of those services store it outside New Zealand.
Your organisation. When your employer engages us, it sees what you agreed it would see, such as programme reports. Assessment answers stay private unless the assessment says otherwise.
People who deliver with us. Facilitators and coaches working with us on your programme see what they need for it.
Profile suppliers. You complete DISC and CliftonStrengths profiles on the supplier's platform, under that supplier's privacy policy.
These services hold information for us and may use it only to provide their service to us:
Squarespace (website, enquiry forms, newsletter sign-ups): United States.
Google Workspace (our email and documents): Google's data centres, which may be outside New Zealand.
Render (our assessments app and contact records): Singapore.
Resend (sends our emails): Japan.
Zapier (passes Contact Us enquiries between our systems): United States.
We choose providers with security and privacy protections comparable to New Zealand's. We may also disclose information where the law requires it.
How long we keep it and how we protect it
We keep information only as long as we need it, then delete it.
Assessment answers and comments: 12 months after the report is released.
Free-check enquiries: 12 months.
Free-check answers you chose to share anonymously: kept for research; they cannot identify you.
Contact details and notes: deleted after three years with no contact and no current work together.
Records of paid work: seven years, as New Zealand tax law requires.
Unsubscribe requests: kept, so we never email you again.
Only the people who need it can see your information. We use encrypted connections, two-step sign-in wherever a service offers it, and regular backups. If a privacy breach is likely to cause serious harm, we tell you and the Privacy Commissioner, as the Privacy Act requires.
Your rights
You can ask to see the information we hold about you and ask us to correct it. Email tonygardner@archetype.nz; we reply within 20 working days, as the Privacy Act requires, and there is no charge.
You can also ask us to delete your information or stop contacting you. We will, unless we must keep a record by law.
If you are unhappy with how we handle your information, please tell us first. You can also complain to the Office of the Privacy Commissioner at privacy.org.nz.
Changes to this policy
We update this policy when our practices change. The date at the top shows the latest version.
